Email

How do you feel about the following paradigms? Do you think that they sum up peoples thinking about email or not?

This is taken in the context of emails sent from business accounts (be they work or non-work) and NOT the use of email by individuals in their own time.

Your views will be appreciated!

1) Email is an essential business tool that must be provided to employees if a company is going to be able to compete. The costs are of little significance as there are always greater benefits.

2) Email is a quick and efficient method of communication. Incoming messages should be dealt with as they arrive and it is acceptable to expect a prompt and accurate response to messages sent.

3) The risks in terms of security breaches, viruses and spam need to be controlled but do not significantly reduce the usefulness of email.

4) People already know how to communicate both verbally and in written from and so should be able to adapt to using email. There is not a need to train people in the use of the medium or is it a requirement to educate them on the use of the ‘tool’ that email has become.

I have not thank goodness, had to indulge in that extremely unpleasant pastime called WORK for a few years now. I was under the impression however that e-mails would be a part of everyday commercial life these days, or am I wrong? Even the out dated old fashioned mob that I worked for in the Troglodyte kingdom started using them.

We have already spoken abou this but I shall expand a bit more. Email is useful in the workplace, but it is much better to speak to a person if you can. Colleagues seem to be foregoing the phonecall and sending an email instead. This isn't always a good thing.

It is helpful for transmitting documents and sending a non urgent message to someone I can't get hold of.

But.. if I am on leave I come back to an inbox full of stuff that will take me all morning to go through... is that efficient? And that is with setting an out of office notification.

Also, companies need to think about the legal implications.... I cannot communicate with our external customers by email because the email would contain personal information in relation to the customer and emails are not considered to be secure.

Then there is the the other side of it where an individual sends a derogitory email out and the company is sued!!!

Email is the future, but we need to get the legal and secure side of this sorted out. I would be interested in Smiffy99's thoughts on the legal side of things.

On the legal point I've actually got an article written by the head of the computer law group at Clark Holt Commerical Solicitors and chairman of hte BCS IT Law Specialsit group titled "Company Email disclaimers are worth next to nothing" taken from the 15th April copy of Computing (www.computing.co.uk)
